Cancellation & Rescheduling policy

This policy applies to 1:1 tutoring, 1:2 tutoring, and group block sessions, whether delivered in-person or online.

1. Lesson Times and Late Arrival

• Lessons start and finish at the agreed time.

• If a student arrives late, the session will not be extended and the full session fee still applies.

2. How to Cancel or Reschedule

• Cancellations and rescheduling requests must be made by email or WhatsApp as early as possible.

• Notice is measured from the scheduled lesson start time.

3. 1:1 and 1:2 Lesson Cancellations

• One week's absence per month is permitted free of charge, provided advance notice is given at the start of the month.

• Outside of this allowance, lessons cancelled with less than 24 hours' notice remain chargeable, as it is unlikely a replacement lesson can be arranged at short notice.

4. Rescheduling (1:1 and 1:2)

• Rescheduling is free if the lesson can be moved to another time within the same week (subject to availability).

• If no suitable alternative time is available, the request will be treated as a cancellation and the cancellation rules above apply.

5. Group Block Packages (Half-Term Blocks)

Group sessions are sold as block bookings (not one-off lessons).

• Group fees are non-refundable and secure a place for the half term rather than payment for attendance at each individual session — similar to a term of swimming lessons.

• Where a student is unable to attend for the remainder of the term due to serious illness, this will be considered on a case-by-case basis.

• If a pattern of repeated absence develops, Bright Fern Education reserves the right to withdraw the student's place in the group.

6. If Bright Fern Education Cancels

If a session is cancelled by Bright Fern Education (for example, tutor illness or emergency), you will be offered:

• A rescheduled session, or

• A full refund for the cancelled session (or pro-rata refund where relevant)

7. Trial / First Lesson

• The first full lesson is no-obligation. If the family decides to continue with tuition, the first lesson is included in the first invoice. If the family chooses not to proceed with lessons there is no charge.

8. Refunds

• Refunds are processed back to the original payment method where possible.

• Refunds for blocks are calculated on a pro-rata basis (as outlined above).

9. Changes to This Policy

Bright Fern Education may update this policy. Where changes affect active clients, we will provide reasonable notice where possible.
